Automatic and manual sending of invoices

SnapBill is perfect for generating and sending invoices. Once you have created an invoice you have the option to send it automatically or send it manually. To set whether invoices are sent manually or automatically follow the steps below:

  • Log in to your SnapBill account and click on Setup in the SnapBill navigation menu to the left of your screen.
  • Click on Billing in the Setup section.
  • Click on Invoicing in the Billing sub-section.
  • The Invoicing Options table will now open.
  • In the Invoicing Options table you will see the Automatically send invoices tickbox.
  • To send invoices automatically ensure that the box is ticked.
  • To send invoices manually ensure that the box is not ticked.
  • Once you have made changes remember to click the Save Changes button.

If you tick the Automatically send invoices box you choose to send your invoices out automatically. The invoice will be generated by the SnapBill system and automatically emailled to the client.

If you do not tick the Automatically send invoices box you choose to manually send your invoices. The invoice will be generated by SnapBill, but you will have to manually send the invoice to the client. If unticked SnapBill will not automatically send any invoices that you generate.

To manually send an invoice to a client follow the steps below:

  • Go to the clients account.
  • Click on the invoice number of the invoice you wish to send to your client in the Invoices table.
  • Once the invoice has opened click the green Send to client button next to the invoice description at the top of the invoice table.
  • The invoice will now be sent to the clients billing contact email address.

The manually send invoices feature is useful if you want to use SnapBill as a back end service only, if you already have another program that issues invoices, if you want to use SnapBill as a client management or support ticketing system only, if you are switching between billing systems and require no invoices to be issued by SnapBill for a period of time.
